How do you tell your boss you missed a deadline?

The short answer

Tell them today, in writing, in four lines: what was due, where it actually stands, the new date, and what you need. Do not lead with the reason. A named recovery date converts a failure into a plan, and the plan is what gets remembered.

What's actually at stake

  • 01Managers forgive slips. They do not forgive finding out from someone else.
  • 02A missed deadline with a credible new date is a scheduling issue. Without one it is a trust issue.
  • 03Reasons offered before the plan read as excuses. The same reasons offered after read as context.

Do

  • · Give a specific new date and time, not 'early next week'.
  • · Say what you will drop or delay to hit it.
  • · Send it in writing so the record shows you raised it.

Don't

  • · Do not promise the original date can still be met if it cannot.
  • · Do not bury it in a status update at the bottom of a long message.
  • · Do not wait for the check-in meeting.

Questions people actually ask

Should I explain why it slipped?
One sentence, after the new date. Any more and it reads as a defence.
What if I will miss the new date too?
Pick a date you would bet money on, then tell them the day it becomes doubtful — not the day it passes.
